RULES OF THE “PRZEKŁADANIEC” FANTASTIC FILM FESTIVAL

§ 1. Scope of the regulations

• These regulations, hereinafter referred to as the "Regulations", define the rules for organizing the "Przekładaniec" Fantastic Film Festival, the rules for submitting films to the Short Film Competition, the selection process, the rights and obligations of applicants, filmmakers, participants and the Organiser, as well as the basic rules for participation in the events taking place as part of the Festival.
• The Regulations apply to all films submitted to the Short Film Competition and, to the appropriate extent, to films presented as part of Special Screenings, unless the Organiser decides otherwise in individual arrangements with the entity entitled to the film.
• Submitting a film to the Competition is tantamount to accepting the Regulations by the Submitter and submitting the declarations specified in the Regulations.
• Participation in the Festival events constitutes acceptance of the Regulations and regulations of the facilities where screenings or accompanying events take place.

§ 2. Definitions

For the purposes of the Regulations, the following meanings of terms are assumed:

§ 3. Organiser

• The organizer of the Festival is the Association of Game and Fantasy Lovers "Thorn" based in Toruń, entered into the National Court Register under the KRS number: 0000428487, NIP: 8792668337, REGON: 341309650.
• The Organiser is responsible for preparing the Festival programme, appointing Selectors and the Jury, coordinating shows, handling applications and communicating with Submitters within the scope specified in the Regulations.
• Contact with the Organiser takes place by e-mail at: festiwal@przekladaniec.com

§ 4. Date and place of the Festival

• The festival will take place on September 18–20, 2026 in Toruń.
• Festival screenings and events will take place in particular at Cinema City Toruń and the Center for Contemporary Art "Znaki Czasu" in Toruń. The Organiser reserves the right to change the Festival venues.
• The Organiser may indicate additional places for the Festival if justified by programme, organizational or technical needs.
• A detailed schedule of screenings and events will be announced by the Organiser at a later date, in particular on the Festival's website, in the Organiser's communication channels or on the FilmFreeway platform.

§ 5. Purpose and nature of the Festival

• The aim of the Festival is to promote and disseminate broadly understood fantasy in Polish and foreign cinema.
• The festival has a cultural, programme and competition character. Its purpose is in particular:
• presentation of films using motifs, conventions, symbols or means of expression typical of broadly understood fantasy;
• supporting short film filmmakers;
• promotion of new artistic and narrative phenomena in genre and border cinema;
• creating a meeting space for filmmakers, viewers, critics, selectors and representatives of the film industry;
• popularization of fantasy cinema as an important part of film culture;
• building a programme combining Polish and foreign cinema.
• The festival may include accompanying events, including meetings with filmmakers, discussions, lectures, workshops, panels, industry events or educational activities.

§ 6. Festival sections

• The Festival programme includes two basic sections:
• Short Film Competition;
• Special Screenings
• The Organiser may create additional bands, cycles, thematic blocks, special events or accompanying events, if justified by the shape of the Festival programme.
• Qualifying a film to one section of the Festival does not mean the obligation to qualify it to other sections or the right to participate in the Competition, unless the Organiser expressly decides so.

§ 7. Short Film Competition

• The competition is intended for short films completed after January 1, 2025.
• Films of all forms and genres may be submitted to the Competition, including in particular feature films, documentaries, animated films, experimental films, hybrid films, student films and independent films.
• The condition for a film's participation in the Competition is the presence of motifs, conventions, symbols, themes, aesthetics or means of expression appropriate to broadly understood fantasy.
• By broadly understood fantasy, the Organiser understands in particular, but not exclusively, elements of science fiction, fantasy, horror, magical realism, myth, legend, alternative history, social or technological speculation, the supernatural world, oneiric, metaphorical, dystopian, utopian, post-apocalyptic reality or any other form of exceeding the realistic order of the presented world.
• Final assessment of whether a given film meets the criterion specified in section 3–4, belongs to the Selectors.
• A film submitted to the Competition does not have to have premiere status. Films previously presented at other festivals, reviews, shows, online platforms or publicly available on the Internet are acceptable.

§ 8. Special Screenings

• Special Screenings are non-competitive.
• Films presented as part of Special Screenings may be selected by the Organiser outside the application procedure, based on programme invitations, recommendations, cooperation with partners, distributors, filmmakers or cultural institutions.
• The Organiser may invite films to Special Screenings that do not meet the formal requirements of the Competition, including films longer than 30 minutes, films from earlier releases or full-length films, if they meet the assumptions of the Festival programme.
• Participation of the film in Special Screenings takes place on the terms agreed between the Organiser and the entity entitled to the film.

§ 9. Application deadline

• Submissions of films to the Competition are accepted until September 4, 2026, until the time specified on the FilmFreeway platform.
• The Organiser may extend the application deadline, shorten the application deadline, launch an additional recruitment process or close the recruitment process earlier if justified by organizational or programme reasons.
• Information about a possible change in the application deadline will be published in a manner approved by the Organiser, in particular on the FilmFreeway platform or in the Festival's communication channels.

§ 10. How to report

• Film submissions to the Competition are accepted only via the FilmFreeway platform.
• An application submitted in any other way, in particular by e-mail, post, via instant messenger or by sending a file directly to the Organiser, does not have the effects of a competition application, unless the Organiser decides otherwise in an individual case.
• The applicant is responsible for correctly completing the application form, providing current contact details and ensuring an active link to the screener throughout the selection period.
• The Organiser is not responsible for the consequences of providing false, incomplete, outdated or incorrect data in the application form.
• The applicant may submit any number of films, provided that each film meets the requirements of the Regulations and is submitted as a separate entry on the FilmFreeway platform.

§ 11. Entities authorized to report

• A film may only be submitted by a Submitter who is entitled to dispose of the film and holds the rights, consents, licenses and authorizations necessary for its submission, participation in the Competition, public screening during the Festival and granting the license specified in the Regulations.
• Applications may only be submitted by an adult or an entity with legal capacity to submit the declarations required by the Regulations.
• A film by a minor filmmaker may be submitted only by his/her statutory representative, legal guardian, producer, school, institution or other entity authorized to submit the film.
• The Organiser may request the Submitter to submit documents, consents or declarations confirming the right to submit the film, the right to publicly present the film and the right to grant a license specified in the Regulations.

§ 12. Formal requirements of the film

• Only films completed after January 1, 2025 can be submitted to the Competition.
• The maximum duration of a film submitted to the Competition is 30 minutes, including the end credits.
• The film may be made in any technique, format, technology, aesthetics and artistic convention, as long as it meets the criterion of the presence of fantastic elements specified in the Regulations.
• Films that have been completed, previously distributed, previously presented at other festivals, previously awarded, as well as films publicly available on the Internet are acceptable.
• Materials that do not constitute an independent audiovisual work will not be accepted for the Competition, in particular trailers, teasers, advertisements, promotional materials, instructional films or purely informational materials, unless their artistic form allows them to be considered an independent film within the meaning of the Regulations.
• The Organiser may reject a film whose content or method of submission violates the Regulations, legal provisions, third party rights or basic principles of public safety and order.

§ 13. Subtitles and language versions

• Films with dialogues in languages ​​other than English should have English subtitles.
• English subtitles are considered sufficient for the film to participate in the Competition.
• The Organiser may ask the Submitter to provide a dialogue list, subtitle file, translation or additional language materials if it is necessary for the preparation of the screening, programme materials or communication with viewers.
• The lack of required subtitles or the inability of the Selectors to understand the film may constitute grounds for rejecting the film or withdrawing it from the programme.

§ 14. Application fee

• Submitting a film to the Competition is subject to an application fee of EUR 5. The fee applies to all entries except films that are Polish productions.
• Films that are Polish productions are exempt from the application fee and may be submitted to the Competition free of charge.
• The application fee is non-refundable, regardless of the result of the selection process, the Submitter's resignation, rejection of the film, non-admission of the film for formal, technical or legal reasons, as well as regardless of the subsequent withdrawal or disqualification of the film.
• The application fee is paid via the FilmFreeway platform, in accordance with the rules, regulations and payment mechanisms applicable on this platform.
• The organizer is not responsible for commissions, transaction fees, currency conversions, exchange rate differences, payment operator fees or technical operation of the FilmFreeway platform.
• In special cases, the Organiser may grant a waiver, fee exemption code or other exemption from the application fee, on terms specified individually by the Organiser. Granting an exemption does not create an obligation to grant it to other Submitters.

§ 15. Technical conditions for submitting to FilmFreeway

• The submitter is obliged to ensure that the film screener available on the FilmFreeway platform is active, playable, complete, consistent with the submission and does not require additional technical activities beyond standard playback of the material.
• If the screener is password protected, the Submitter is obliged to provide the correct password in the application and keep it valid throughout the selection period.
• The Organiser may reject the application if the screener does not work, is incomplete, incorrectly described, unavailable, deleted, geographically blocked or its reconstruction is impossible under normal technical conditions.
• The Organiser is not obliged to call the Submitter to remove technical deficiencies in the entry, but may do so if he deems it advisable.

§ 16. Film selection

• The selection of films for the Competition is made by Selectors appointed by the Organiser.
• Selectors evaluate films according to artistic, programmematic, technical and formal criteria, in particular taking into account the film's connection with broadly understood fantasy, quality of production, originality, artistic coherence and the needs of the Festival programme.
• Meeting the formal requirements does not guarantee that the film will qualify for the Competition.
• The Selectors' decisions are final, cannot be appealed and do not require justification.
• The Organiser is not obliged to provide information about the number of votes, ratings, comments of the Selectors, the course of the meeting or the reasons for the non-qualification of the film.
• The Organiser may move a film submitted to the Competition to Special Screenings or another section of the Festival if it considers that it suits the nature of the film or the needs of the programme.

§ 17. Information about selection results

• Information about the film's qualification will be provided to the Submitter via the FilmFreeway platform, electronically or in another way chosen by the Organiser.
• The list of films qualified for the Competition may be published on the Festival's website, in social media, press materials, the Festival catalog, the Organiser's announcements or on the FilmFreeway platform.
• Failure of the Submitter to respond to the Organiser's message within 48 hours of the announcement of the selection results may be considered as an inability to effectively confirm the film's participation in the Festival and may result in the film being withdrawn from the programme.
• The Organiser may conditionally qualify a film, making its participation in the Festival conditional on providing the required materials, confirmation of rights, removal of formal deficiencies or meeting technical requirements.

§ 18. No right to withdraw a film after qualification

• Once a film has been qualified for the Competition, the Submitter cannot withdraw the film from the Festival programme.
• The Submitter acknowledges that qualifying the film may involve the Organiser's costs and obligations, in particular those related to the preparation of the programme, communication, catalogue, promotional materials, screening schedule and reservation of accommodation.
• The Submitter's declaration of withdrawal of the film after its qualification may be considered by the Organiser to be ineffective towards the Festival, unless the Organiser gives written or e-mail consent to the withdrawal of the film.
• The provision of section 1 does not limit the Organiser's right to withdraw a film from the programme in the cases specified in the Regulations.

§ 19. Materials required after qualification

• After receiving information about the film's qualification, the Submitter is obliged to provide the Organiser, within the deadline specified by the organizer, with materials necessary for the presentation and promotion of the film.
• Materials referred to in section 1, may include in particular:
• a screening copy of the film;
• a link to download a demo copy or another way to transfer the file;
• a subtitle file or a dialogue list, if the Organiser requests it;
• film summary;
• logline;
• director's note;
• biography of the director or filmmakers;
• movie poster, if available;
• stills from the film in quality suitable for publication;
• trailer, teaser or fragments of the film, if available;
• details of people representing the film during the Festival.
• The Organiser may specify detailed parameters of promotional materials, including file formats, minimum resolution, naming method, delivery deadlines and channels for transmitting the materials.
• Failure to deliver the required materials on time may result in the film being withdrawn from the programme, omitting the film from selected promotional materials or limiting the scope of information about the film in the Festival's catalog and communication.

§ 20. Data veracity and communication

• The Submitter is responsible for the accuracy, completeness and currency of all data provided to the Organiser.
• The applicant is obliged to immediately inform the Organiser about any change in contact details, change of the film's legal status, change of title, change of rights owner, significant technical problems or other circumstances that may affect the film's participation in the Festival.
• Correspondence sent by the Organiser to the e-mail address provided in the application is considered effectively delivered, unless the Organiser receives automatic confirmation of non-delivery of the message.
• The Organiser is not responsible for the consequences of the Submitter's failure to read the message, placing the message in the SPAM folder, providing an incorrect e-mail address, failure of the Submitter's e-mail or correspondence being blocked by the mail server.

§ 21. Show copy formats

• The Organiser accepts show copies in various technical formats, in particular DCP, ProRes, MOV, MP4, H.264, H.265 or any other format agreed with the Organiser.
• The screening copy must be complete, technically sound, free from damage that would prevent projection and consistent with the version of the film qualified for the Competition, unless the Organiser accepts a different version.
• The Organiser may refuse to accept the screening copy or demand delivery of another copy if it does not meet the minimum technical requirements, does not play properly, contains image or sound errors, does not have the required subtitles or does not correspond to the submitted film.
• The Organiser may make a technical or security copy of the film only to the extent necessary for the preparation, testing and conducting of festival screenings and for technical archiving related to the Festival.
• The Organiser is not obliged to accept physical media, unless the Organiser agrees to this in individual correspondence with the Submitter.

§ 22. Technical tests

• The organizer may carry out technical tests of the screening copy before the screening.
• If the technical test reveals defects in the demonstration copy, the Organiser may ask the Submitter to provide a new copy within the deadline specified by the Organiser.
• Failure to deliver the correct screening copy on time may result in the cancellation of the film screening, replacement of the film with a different title or withdrawal of the film from the programme.
• The Organiser is not responsible for deterioration of the quality of the screening resulting from defects in the delivered screening copy, file errors, incorrect coding, subtitle defects or materials sent in the wrong format.

§ 23. Film screenings

• Qualifying a film for the Competition means the Submitter's consent to the free public presentation of the film as part of the Festival on September 18-20, 2026.
• The Organiser may present the film more than once during the Festival, in particular as part of replays, competition blocks, press screenings, screenings for the Jury, technical screenings or closed events related to the Festival.
• The Organiser decides on the number of screenings, the screening date, the screening location, the programme block and the order in which the films will be presented.
• The applicant does not acquire the right to a specific number of screenings, a specific room, a specific screening time, a sequence in a block or a form of promotion of the film.

§ 24. Festival programme

• The Organiser determines the Festival programme at its own discretion, taking into account programme assumptions, technical possibilities, room availability, film rights and other organizational circumstances.
• The Organiser reserves the right to change the programme, screening hours, screening locations, the line-up of accompanying events, the order of films, the composition of the Jury, the composition of the Selectors and other elements of the programme.
• Changes to the programme do not constitute the basis for claims against the Organiser, unless mandatory provisions of law provide otherwise.
• The organizer may mark selected screenings with age recommendations, content warnings or accessibility information if deemed necessary.

§ 25. Rules for participation of viewers and guests

• Participation of viewers, guests, filmmakers, industry representatives and media in the Festival events takes place on the terms specified by the Organiser and in accordance with the regulations of the facilities where the Festival takes place.
• Festival participants are obliged to maintain order, good manners, follow the instructions of the Festival staff, facilities, security and safety rules.
• During the screening, it is prohibited to record image or sound from the screen, make film recordings, broadcast, stream or reproduce any works presented during the Festival without the consent of the Organiser and authorized entities.
• The organizer may refuse to participate in the event or order to leave the event venue to a person who violates the Regulations, facility regulations, legal provisions, disrupts the course of the event, poses a threat to himself or others or violates the rights of third parties.

§ 26. Jury

• Films qualified for the Competition are assessed by the Jury appointed by the Organiser.
• The composition of the Jury will be announced by the Organiser at a later date.
• The Organiser may change the composition of the Jury, supplement the composition of the Jury, appoint a substitute member of the Jury or change the working mode of the Jury, if justified by organizational, health, professional, programme or other important reasons.
• A member of the Jury should inform the Organiser about circumstances that may cause a conflict of interest when assessing a specific film. In such a case, the Organiser may exclude a member of the Jury from the evaluation of a given film or take other actions to ensure the impartiality of the evaluation.
• The deliberations of the Jury shall not be public, unless the Organiser decides otherwise.
• The decisions of the Jury are final, not subject to appeal and do not require justification.

§ 27. Awards

• The Competition provides for the following prizes:
• Grand Prix of the "Przekładaniec" Fantastic Film Festival;
• Jury Prize;
• Audience Award.
• The amount of prizes, their nature, form and detailed rules of transfer will be announced by the Organiser at a later date.
• The Jury may decide not to award a prize, award a prize ex aequo, award an honorary distinction or provide the Organiser with a recommendation for a different distribution of prizes, if the Organiser allows such a possibility.
• Prize winners are obliged to provide the Organiser with the data necessary to issue the prize, tax settlement, preparation of diplomas, statuettes or other benefits, if they are provided for.
• In the case of cash prizes, the Organiser will make the required tax deductions or other settlements in accordance with applicable law.
• Prizes not collected on the date indicated by the Organiser may be transferred at a later date or left for collection on the terms specified by the Organiser.

§ 28. Participation of qualified filmmakers

• The Organiser may invite filmmakers or representatives of films qualified for the Competition to participate in the Festival, meetings with the audience, industry events, talks after screenings, interviews or promotional activities.
• The scope of participation of the filmmakers, the number of invited persons, the dates of stay and the form of participation are each time agreed by the Organiser with the Submitter or the person representing the film.
• The Submitter is obliged to provide the Organiser with the data of persons representing the film within the time limit indicated by the Organiser.
• The absence of filmmakers or representatives does not affect the ability of the Jury to evaluate the film or the film's participation in the Competition, unless the Organiser decides otherwise in relation to a specific event.

§ 29. Accommodation

• The Organiser provides accommodation for representatives of films qualified for the Competition on the terms specified by the Organiser.
• The scope of accommodation, including the number of persons covered by the accommodation, the number of nights, the standard of accommodation, the place of accommodation and the dates of stay, depend on the organizational and budgetary capabilities of the Festival and require confirmation by the Organiser.
• Unless the Organiser decides otherwise, accommodation does not include travel costs, per diems, meals, local transport, insurance, visa costs, costs of accompanying persons or other costs of stay.
• The condition for using the accommodation may be the timely transfer of personal data, logistic information and confirmation of presence in the manner indicated by the Organiser.
• The Organiser may refuse to provide accommodation or limit its scope in the event of exceeding the available capacity, delayed response of the Submitter, lack of required data or other important organizational reasons.

§ 30. Declarations of the Submitter

• The Submitter declares that it has all the rights, consents, licenses and authorizations necessary to submit the film to the Competition, participation of the film in the Festival, public presentation of the film and granting the Organiser the consents and licenses specified in the Regulations.
• The Submitter declares that the film and materials provided to the Organiser do not violate copyright, related rights, industrial property rights, image rights, personal rights, trade secrets, rights to music, rights to archival materials or other rights of third parties.
• The Submitter declares that it has obtained all consents of the persons appearing in the film, co-filmmakers, performers, composers, music authors, owners of archival materials, producers, co-producers, distributors and other entities, if such consents are required.
• The Submitter bears full responsibility for the truthfulness of the statements referred to in this paragraph.
• In case of doubt as to the legal situation of the film, the Organiser may request additional statements, documents, consents or explanations. Failure to deliver them may result in rejection of the application or withdrawal of the film from the programme.

§ 31. Film Presentation License

• Upon submission of the film, and in the scope of public presentation at the latest upon qualification of the film for the programme, the Submitter grants the Organiser a free, non-exclusive license to use the film to the extent necessary to conduct the Festival.
• The license includes in particular:
• public screening of the film during the Festival in cinemas, screening rooms, festival spaces or other places indicated by the Organiser;
• technical, test, closed, press, industry projections and projections for the Selector and the Jury;
• entering a copy of the film into the memory of devices, servers, projection systems or technical media to the extent necessary to prepare and carry out the projection;
• making a technical copy or a security copy to the extent necessary to carry out the projection;
• use of the film title, film information and filmmakers' data in the programme, catalog, press releases, website and social media of the Festival;
• archiving information about the film in the Festival documentation.
• The license referred to in this paragraph is granted on the territory of Poland, and in the field of information and promotional activities on the Internet – without territorial restrictions resulting from the technical nature of the Internet.
• The license covers the period necessary to prepare, conduct and settle the Festival, and in the scope of information, catalogue, archival and promotional materials – an indefinite period, unless the parties agree otherwise.

§ 32. Promotional materials and excerpts from the video

• The Submitter agrees to the Organiser's free use of promotional materials of the film, in particular the poster, stills, frames, trailer, logline, summary, director's note, biographies, information about the filmmakers and other materials provided to the Organiser.
• The Organiser may use the materials referred to in paragraph 1 in order to promote the Festival, promote the programme, press release, social media communication, catalogue publication, printed materials, audiovisual materials, Festival documentation and the Festival archive.
• The Submitter consents to the Organiser using fragments of the film with a total length of up to 60 seconds for promotional, information, press and documentation purposes related to the Festival.
• The use of fragments of the film cannot be used to create an independent commercial exploitation of the film outside the promotion and documentation of the Festival.
• The Organiser may make technical elaborations of promotional materials, in particular abbreviations, framing, format changes, compression, adding subtitles, boards, logos or visual identification elements of the Festival, provided that this does not violate the integrity of the film beyond the promotional purpose.

§ 33. “Third Party Claim”

• In the event of claims against the Organiser, Festival partners, festival facilities or persons acting for the Festival related to the film, its content, submission, screening or materials provided by the Submitter, the Submitter undertakes to cooperate with the Organiser in order to clarify the matter.
• The Submitter shall be liable for all damages, costs, expenses, claims, fees, penalties, damages, attorneys' fees and other receivables resulting from a breach of the representations, rights or obligations set out in the Regulations.
• The Organiser acts in trust to the statements of the Submitter and is not obliged to examine the full chain of rights to the film, music, archival materials, images or other elements used in the film.

§ 34. Data Controller

• The administrator of personal data processed in connection with the organization of the Festival is the Association of Game and Fantasy Lovers "Thorn" based in Toruń.
• Contact with the Administrator is possible via the contact details available at: https://www.copernicon.pl/kontakt.
• Personal data may be processed in particular for the purpose of accepting applications, conducting selection, communicating with Submitters, preparing the programme, organizing screenings, servicing guests, providing accommodation, awarding and settling prizes, promoting the Festival, Festival documentation, handling complaints and pursuing or defending against claims.
• The basis for the processing of personal data may be, in particular, the performance of a contract or taking action before its conclusion, a legal obligation incumbent on the Administrator, the legitimate interest of the Administrator or the consent of the data subject, depending on the nature of the data and the purpose of their processing.

§ 35. Scope and recipients of data

• In particular, identification and contact data, film data, filmmakers' data, film representatives' data, data necessary to provide accommodation, tax and billing data of the winners and data contained in promotional materials may be processed.
• Personal data may be transferred to entities cooperating with the Organiser in the implementation of the Festival, in particular IT service providers, application platform operators, payment service providers, festival facilities, hotels, accounting, legal, promotional entities, organizational partners and institutions authorized under the law.
• Personal data will be stored for the period necessary to achieve the purposes for which they were collected, and then for the period required by law or justified by the limitation of claims, archiving, accounting or documentation obligations of the Organiser.
• The data subject has the rights provided for in the provisions on the protection of personal data, including the right of access, rectification, erasure, restriction of processing, objection, data transfer, withdrawal of consent and lodging a complaint with the supervisory authority, to the extent resulting from the provisions of law.
• Providing the data required in the application is voluntary, but necessary for the film's participation in the selection process and the Festival. Failure to provide data may prevent the film from participating in the Competition or providing organizational services.

§ 36. Responsibilities of the declarant

• The Submitter bears full responsibility for the film, its content, the legal situation of the film, the truthfulness of the data provided to the Organiser, the completeness of consents and licenses and the compliance of the submission with the Regulations.
• The Submitter is responsible for any consequences resulting from providing false data, lack of rights to the film, lack of consent of third parties, violation of copyright, related rights, personal rights, image rights, legal provisions or provisions of the Regulations.
• The Submitter undertakes to release the Organiser from liability in the scope of claims arising from circumstances for which the Submitter is responsible, to the extent permitted by law.

§ 37. Organiser Liability

• The Organiser is not responsible for the falsity of the declarations of the Submitter, the lack of rights to the film, the lack of consents of third parties, defects in the materials provided by the Submitter, failures of external platforms, technical errors independent of the Organiser or for the actions or omissions of third parties.
• The Organiser is not responsible for the inability to reproduce the screener or show copy due to reasons attributable to the Submitter, FilmFreeway, service providers, regional restrictions, file errors, technical security, media defects or improper preparation of materials.
• The Organiser shall not be liable for damages resulting from the cancellation or change of the Festival programme for reasons beyond the control of the Organiser, including due to force majeure, decisions of public authorities, technical failures, restrictions on facilities, security threats or other circumstances preventing the proper implementation of the event.

§ 38. Rejection, withdrawal and disqualification of the film

• The Organiser may reject the application, withdraw the film from the programme or disqualify the film at any stage if:
• the film does not meet the requirements of the Regulations;
• the film exceeds the permissible duration;
• the film was not completed after 1 January 2025;
• the film does not contain motifs, conventions, symbols or means of expression appropriate to the broadly understood fantasy as understood by the Selectors;
• The Submitter does not have the rights or consents required by the Regulations;
• the submission contains false, incomplete or misleading information;
• the screener or screening copy is unavailable, defective or inconsistent with the submission;
• The Submitter did not provide the required materials on time;
• the film or its promotional materials violate the law, the rights of third parties or personal rights;
• the film contains content inciting violence, hatred, discrimination or committing a prohibited act, unless the presentation of such content is justified artistically, critically, educationally or documentarily and does not violate the law;
• the participation of the film could expose the Organiser, partners or the audience to significant legal, organizational, security or image risks;
• there are other important reasons preventing the film from participating in the Festival.
• The Organiser's decision to reject, withdraw or disqualify the film is final and does not require justification.
• The rejection, withdrawal or disqualification of a film does not result in a refund of the application fee.

§ 39. Organisational changes

1. The Organiser reserves the right to make changes to the programme, schedule, locations, staffing of meetings, formula of events, composition of the Jury, composition of the Selectors and the manner of implementation of the Festival.
2. Changes may result in particular from technical, organizational, legal, programme, health, safety, facility decisions, decisions of public authorities or other circumstances independent of the Organiser.
3. The Organiser will make every effort to ensure that significant changes to the programme are communicated to participants and Submitters in a manner appropriate to the circumstances.

§ 40. Force majeure

• Force majeure is understood as an external event, impossible or difficult to predict and impossible to prevent with due diligence, in particular natural disasters, epidemics, pandemics, wars, acts of terror, riots, infrastructure failures, power outages, decisions of public authorities, sanitary restrictions, fires, floods, national mourning, strikes or other circumstances preventing the proper organization of the Festival.
• In the event of force majeure, the Organiser may change the date of the Festival, limit the programme, change the form of the event, cancel some of the events, move the events to other locations or cancel the Festival in its entirety.
• The occurrence of force majeure does not give rise to the Submitter's right to a refund of the application fee, unless the mandatory provisions of law provide otherwise.

§ 41. Contact Us

• The basic form of contact with the Organiser is e-mail: festiwal@przekladaniec.com.
• In the case of competition applications, the Organiser may communicate with the Submitters via the FilmFreeway platform, e-mail or other channels indicated in the Festival announcements.
• The Submitter is obliged to follow the messages of the Organiser, the FilmFreeway platform and correspondence sent to the contact details indicated in the application.

§ 42. Complaints and organizational comments

• Comments regarding the organization of the Festival, applications, payments, communication or other matters related to the Regulations may be addressed to the Organiser via the contact details indicated in § 41.
• The complaint should include the name and surname or name of the Submitter, e-mail address, title of the film, description of the case and the expected manner of consideration, if possible.
• The Organiser shall consider complaints within a reasonable time, depending on the nature of the case, the number of applications and the availability of information necessary for its consideration.
• The complaint procedure is not used to question the decisions of the Selectors, the decisions of the Jury, artistic assessments or programme decisions of the Organiser.

§ 43. Interpretation of the Regulations

• In matters not covered by the Regulations, decisions are made by the Organiser.
• The Organiser is entitled to interpret the provisions of the Regulations, in particular in the event of doubts regarding the qualification of the film, formal requirements, rules of participation, technical materials, programme or organizational matters.
• The interpretation of the Regulations made by the Organiser is binding within the Festival, unless the mandatory provisions of law provide otherwise.

§ 44. Modification of the Terms and Conditions.

• The Organiser reserves the right to change the Regulations if it is justified by organizational, legal, technical, programme or security reasons.
• Amendments to the Regulations should not violate the acquired rights of the Submitters in a manner contrary to the mandatory provisions of law.
• The current version of the Regulations will be published in the manner adopted by the Organiser, in particular on the FilmFreeway platform, the Festival website or in the Organiser's communication channels.

§ 45. Applicable law and Disputes

• Polish law shall apply to the Regulations.
• The Organiser and the Submitter will try to resolve disputes arising from the Regulations amicably.
• In the absence of an amicable settlement of the dispute, the dispute will be resolved by a competent common court in accordance with applicable law.

§ 46. Entry into force

• The Regulations enter into force on the day of its publication by the Organiser.
• The Regulations apply for the duration of the recruitment, selection process, the Festival and in the scope of provisions regarding rights, licenses, liability, personal data, prizes, settlements, documentation and archiving – also after the end of the Festival.
